Role Overview
We are seeking a highly organized and detail-oriented Sales Operations & Administrative Coordinator to support day-to-day order processing, reporting, and data management.
This is a part-time role (Monday–Thursday, 11:00 AM – 3:00 PM) focused on keeping our operational infrastructure running smoothly while supporting our sales team and supplier partners.
Key Responsibilities
Order ManagementALL\tProcess sample and daily orders (Monday–Thursday)
\tCoordinate with suppliers and logistics partners to ensure accuracy and timeliness
\tResolve order discrepancies and track fulfillment
Data & Systems Management
\tMaintain and update:
o\tTech sheets
o\tProduct data
o\tTerritory assignments
o\tChannel classifications
\tPerform ongoing data entry and system cleanup to ensure accuracy across platforms
Accounts Receivable Support
\tFollow up on past due accounts
\tCommunicate professionally with clients regarding outstanding balances
Reporting & Analytics
\tPrepare and distribute:
o\tSample usage reports
o\tSales incentive tracking reports
o\tOther internal reports (existing and newly developed)
\tAssist in building out new reporting tools and improving visibility
General Operations Support
\tSupport internal coordination across sales, suppliers, and logistics
\tAssist in developing more efficient workflows and processes
\tAssist with chain item forms and submissions
\tOther Administrative duties as needed
Qualifications
\t2+ years experience in wine, spirits, or CPG distribution (preferred)
\tStrong proficiency in Excel / Google Sheets (formulas, lookups, data organization)
\tExperience with CRM, order management, or inventory systems
\tExceptional attention to detail and organizational skills
\tStrong communication and follow-up discipline
\tAbility to manage multiple priorities within a structured daily schedule

Compensation & Schedule
\tPart-Time: Monday–Thursday, 11:00 AM – 3:00 PM
\tCompetitive hourly rate of $25-$27 (based on experience)
