Effective June 27, 2025 4.00% increase
Salary may be negotiable within the range listed above, based on position requirements and successful candidate's qualifications, subject to appropriate authorization.

OPEN TO THE PUBLIC
This recruitment will establish anOpen eligible list used to fill current Secretary III vacancies and may also be used to fill any future vacancies within OC Probation Department and/or any other agencies within the County of Orange. This recruitment may also be used to fill positions in similar and/or lower classifications.

PROBATION

The Orange County Probation Departmentassists the criminal justice system in Orange County, California by making a safer Orange County through positive change. Under the direction of the Chief Probation Officer, a dynamic executive team with an organizational structure comprised of three bureaus Adult Operations, Juvenile Operations, and Administrative Services serves the community using efficient and research supported corrections practices to reduce crime, assist the Courts in managing offenders, promoting lawful and productive lifestyles and assisting victims.


THE OPPORTUNITY
The position within the OC Probation Department entails providing secretarial and administrative support to the Chief Deputy Probation Officer and the Executive team as required. The incumbent will be responsible for a wide array of duties, maintaining confidentiality and demonstrating accountability.


The successful candidate will be a key member in providing secretarial services to Executive Management staff. The major responsibilities of the position include, but are not limited to:

  • Coordinating office management activities, such as scheduling meetings and managing multiple executive-level calendars.
  • Undertaking administrative and office services tasks efficiently.
  • Executing complex and highly responsible clerical work with precision.
  • Reviewing and interpreting policy and administrative regulations as necessary.
  • Drafting and preparing correspondence under the direction of superiors.
  • Reviewing and proofreading documents for proper format and grammatical accuracy.
  • Making travel arrangements, organizing conference attendance, and managing similar logistical requirements.
  • Acting as a liaison between managers and their subordinates, facilitating effective communication.
  • Fulfilling any additional duties as assigned by supervisors.

DESIRABLE QUALIFICATIONS

The ideal candidate will have at least three (3) years of experience in organizing, planning, prioritizing assignments, taking initiative, paying attention to details, and providing administrative support to high level management positions. In addition, the ideal candidate will demonstrate experience in the following core competencies:

Technical Knowledge | Administrative Support Experience

  • Correcting English usage, spelling, vocabulary, and punctuation.
  • Experience in taking meeting minutes and transcribing accurately.
  • Proficiency in MS Office Suite applications, including advanced skills in Outlook, Word, Excel, PowerPoint, and Teams.
  • Writing technical reports and documents proficiently.
  • Maintaining and managing pertinent information by creating reports, memos, correspondence, spreadsheets, presentations, and other related documents using current computer systems.
  • Performing complex record-keeping with attention to detail and a high level of accuracy.
  • Being a team player capable of multitasking, managing competing priorities, and completing assignments in a timely manner.
  • Exercising sound judgment and discretion in handling confidential information as required by the assignment.
  • Reading and interpreting complex policies, regulations, and guidelines.

  • Managing and maintaining multiple executive calendars using Microsoft Outlook.

RECRUITMENT PROCESS
