Job description

We are currently seeking an experienced, detailed and deadline oriented Senior Administrative Assistant to support our team.

Position Overview
Reporting to the Finance Manager, the Senior Administrative Assistant will primarily be responsible for data entry and filing regarding coordination and maintenance of multiple agency filings, ensuring we meet filing deadlines.

Duties & Responsibilities

  • Maintain log of scheduled agency filings by deadline.
  • Prepare in advance, filing data using supplied referential and past submission.
  • Work with Finance manager for review and approval.
  • Submit data to agency within stated deadlines.
  • Update log of scheduled filings.
  • Assist in administrative needs of other departments.

Skills

  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
  • Strong attention to detail, with the ability to maintain accuracy while handling multiple tasks simultaneously.
  • Proficiency in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
  • Strong interpersonal skills, with the ability to build and maintain positive relationships with colleagues and stakeholders at all levels.
  • Excellent teamwork and collaboration skills, with the ability to work effectively both independently and as part of a team.
  • Flexibility and adaptability to changing priorities and situations.

Education & Experience

  • High school diploma or equivalent; Bachelor's degree preferred.
  • Minimum of 3 years of corporate work experience; mid to senior level administrative or executive support roles
  • Clear record; no misdemeanors or greater
