Job Description:

DrBalcony is a team of passionate civil engineers dedicated to making California balconies safer. We specialize exclusively in SB 326 and SB 721 inspections and compliance, with over 515 SB 326 inspections completed. Our team understands the complexities of these regulations and is committed to providing tailored solutions for homeowners, HOAs, and property managers. As the CEO's Assistant, you will play a crucial role in ensuring the smooth operation of the CEO's day-to-day activities and, by extension, the success of our mission.

Key Responsibilities:

  • Email Management: Monitor, prioritize, and respond to emails on behalf of the CEO, ensuring timely and professional communication.
  • Scheduling: Coordinate and manage the CEO’s calendar, including meetings, appointments, and travel arrangements.
  • Document Handling: Assist in filing, scanning, and organizing important documents, maintaining accurate records.
  • Project Support: Provide administrative support for ongoing projects, including SB 326 and SB 721 compliance efforts.
  • Client Interaction: Communicate with clients, homeowners, HOAs, and property managers to schedule inspections and follow-up on inquiries.
  • Meeting Preparation: Prepare agendas, take minutes, and distribute meeting summaries for internal and external meetings.
  • Research & Reporting: Conduct research, compile data, and prepare reports as needed by the CEO.
  • Task Management: Assist the CEO with various personal and professional tasks, ensuring nothing falls through the cracks.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.

Requirements

Qualifications:

  • Experience: Minimum of 4-5 years of experience in an administrative or executive assistant role, preferably in the engineering or construction industry.
  • Skills: Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
  • Communication: Excellent written and verbal communication skills, with a professional demeanor.
  • Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new software as needed.
  • Adaptability: Ability to handle last-minute changes and unexpected challenges with a positive attitude.
  • Professionalism: Demonstrated ability to maintain a high level of professionalism, integrity, and confidentiality.
