Sr. Executive Assistant

Job Description

The Sr. Executive Assistant provides high-level administrative support to executives, ensuring efficient operations, strong communication, and professional representation of the executive office.

Responsibilities

  • Manage complex calendars, daily schedules, travel, events, and special requests.
  • Troubleshoot issues and ensure smooth workflow across departments.
  • Assist with research, project management, special initiatives, presentations, spreadsheets, and event planning.
  • Prepare agendas, board materials, meeting minutes, correspondence, policies, procedures, contracts, and organized filing systems.
  • Serve as the primary contact for executives, maintaining professional interactions with staff, patients/customers, vendors, and board members.
  • Maintain strict confidentiality.
  • Support initiatives to improve service quality, patient/staff safety, and overall operational effectiveness.
  • Collaborate with other administrative staff, mentor junior assistants, and serve as a liaison between leadership and employees.

Skills and Qualifications

  • Associate degree in Administrative Assistance required
  • Bachelor’s in business or health-related field preferred
  • 3–5 years administrative experience, including at least one year supporting an executive preferred
  • Healthcare experience beneficial
  • Strong computer skills
  • Ability to type ~60 wpm with high accuracy
  • Excellent grammar, transcription, organization, communication, problem-solving, and decision-making skills
  • CAP certification preferred

Work Environment

These individuals will be supporting the Sr. Vice President, and/or Vice President. The role is based at the Wausau office within the Clinical Administration department, operating from Monday to Friday, 8:00 AM to 5:00 PM, with some weeks needing to work 45-50 hours/week.

Job Type & Location

This is a Contract to Hire position based out of Wausau, WI.

Pay and Benefits

The pay range for this position is $29.61 - $36.28/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
