Senior Operations Specialist

The Senior Operations Specialist will play a critical role in supporting the company’s day-to-day operations by coordinating key processes, facilitating executive meetings, and ensuring smooth execution of various operational initiatives. This role is responsible for ensuring the operational rhythm of the business is maintained by managing executive-level meetings, tracking action items, and handling logistical tasks with minimal oversight. This person will manage much of the tactical day-to-day work, such as facilitating our weekly executive huddles, preparing meeting agendas, tracking action items, and ensuring timely execution of operational projects. They’ll work closely with and report to the Director of Operations to keep things running smoothly, and the role is essential for maintaining the operational rhythm of the business. 

This role offers flexibility and can be based in Austin with a hybrid schedule, or anywhere in the U.S. with a remote setup, including occasional travel to our other offices.

What You’ll Do:

  • Meeting Facilitation: Manage the weekly executive huddles, including agenda preparation, meeting moderation, and follow-up on action items.
  • Project Coordination: Support cross-functional operational projects by coordinating between teams, tracking progress, and ensuring timely delivery.
  • Process Optimization: Identify areas of inefficiency within day-to-day operations and suggest improvements to streamline workflows.
  • Executive Support: Collaborate with executive assistants to schedule, organize, and document critical meetings (e.g., leadership meetings, monthly all-hands).
  • Operational Reporting: Provide regular updates on the progress of key initiatives to the Director of Operations and ensure any risks or delays are communicated.
  • Event Coordination: Assist in the planning and logistics of quarterly executive off-sites, working with the Director to align event objectives with strategic goals.

What You’ll Have:

  • Experience: 3-5 years in operations or project management, preferably in a fast-paced environment in consulting or tech.
  • Project Management: Strong organizational and time management skills with the ability to manage multiple priorities.
  • Communication: Excellent written and verbal communication skills, with the ability to work cross-functionally and collaborate with senior leadership.
  • Problem Solving: Proven track record of identifying operational bottlenecks and proposing effective solutions.
  • Tools: Proficiency in project management tools (e.g., Asana, Jira) and experience with reporting and documentation.
