Senior Payroll Specialist Workday Apply
Position Summary
The Senior Payroll Specialist is responsible for overseeing and processing the organization’s payroll functions, ensuring compliance with federal, state, and local regulations. This role requires a high level of accuracy, attention to detail, and the ability to work collaboratively with various departments. The Senior Payroll Specialist will serve as a point of contact for payroll-related inquiries and provide support in payroll audits and reporting.
Responsibilities and Accountabilities:
- Payroll Processing:
- Manage the end-to-end multi-state biweekly payroll process for all US employees, ensuring timely and accurate payroll delivery.
- Review and validate payroll data entries, including hours worked, overtime, bonuses, and deductions.
- Manager monthly incentive payment runs.
- Ensure all funding is accurate and approved for biweekly HSA and 401k contributions.
- Compliance and Reporting:
- Ensure compliance with federal, state, and local payroll regulations, including tax filings and labor laws.
- Prepare and submit required payroll reports, including tax filings and wage reports
- Unemployment, EEO-1, ACA and other federal & state reporting as required
- Provide ad-hoc reporting requests.
- System Management:
- Oversee the payroll system, ensuring it is up-to-date and functioning efficiently.
- Collaborate with Global HR team to implement system upgrades and enhancements.
- Audit and Reconciliation:
- Conduct regular audits of payroll data and reconcile discrepancies.
- Assist with internal and external audits related to payroll processes.
- Conduct 401k Non-Discrimination Testing.
- Work with Auditors on the yearly 401k audit and accounting audit.
- Manage year-end payroll audits.
- Employee Support:
- Serve as a resource for employee inquiries regarding payroll and leaves.
- Provide employee and manager Workday training as needed.
- Process Improvement:
- Identify opportunities for process improvements to enhance efficiency and accuracy in payroll operations.
- Document and update payroll procedures and guidelines.
- Leave Administration:
- Interprets and administer leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.)
- Work closely with employees on leave to ensure all relevant complete medical documentation is submitted for timely review. Maintains appropriate contact with employees on leave and coordinate all aspects of return to work for employees on leave
- Other:
Assist the Human Resources team on other tasks as needed.
Requirements
Skills and Abilities
- Strong knowledge of payroll software and systems (e.g., Workday, ADP, Paychex, or similar).
- Familiarity with payroll regulations and compliance requirements.
- Excellent analytical skills and attention to detail.
- Strong organizational and time-management skills.
- Effective communication and interpersonal skills.
- Experience with multi-state payroll processing.
- Proficiency in Microsoft Excel and other reporting tools.
- Proven ability to work effectively in a team environment and maintain a "team" attitude and positive image of the company.
Education and Experience
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred; Associates Degree required.
- Professional in Human Resources (PHR) certification or Certified Payroll Professional preferred.
- 5+ years of experience in payroll processing, with a minimum of 2 years in a senior role.
