The project manager is responsible for the following primary duties:
Outreach & Relationship Building:
Build and maintain relationships with correctional facilities, law enforcement agencies and other first responders across Vermont to ensure successful implementation of the Beyond Us and Them program and training.
Serve as the primary point of contact for project participants and local stakeholders.
Conduct regular communication and outreach to key partners to ensure alignment and program engagement.
Engage with local communities, first responder personnel, corrections officers, and community justice agencies to advocate for the importance of mindfulness and mental health training in the criminal justice system.
Attend relevant community meetings, training, or events to represent the project and share information with potential partners and stakeholders.
Maintain effective communication and relationships with the Beyond Us & Them team to ensure project alignment, timeline and all aspects of the project stay on track.
Maintain effective communication and relationships with Client leadership and other State partners.
Training & Program Coordination:
Manage the scheduling and coordination of all training sessions, including securing venues, confirming registrants, sharing logistics information, and ensuring all logistics are in place.
Provide administrative support to ensure training runs smoothly, managing attendee registration, on- site logistics, and post-event follow-up.
Recruit participants, ensuring that correctional officers and administrators, and first responders, are informed and encouraged to participate in the Beyond Us and Them Program.
Provide ongoing support and follow-up for program participants to ensure engagement, retention, and success in the program.
Logistics & Venue Management:
Secure venues for training sessions, ensuring accessibility and proper setup for training needs (AV needs, number of rooms, snacks/coffee, etc.).
Program Administration & Reporting:
Monitor and document the progress of the project, providing regular updates to leadership on program milestones, attendance, and feedback.
Develop and maintain a master schedule.
Coordinate movement in-state between training locations and assist with local travel logistics (hotel accommodations proximate to trainings, preparing directions, troubleshooting emergent weather/travel issues).
Acquire and deliver materials (supplies, printing, etc.).
Assist in preparing reports for funders and stakeholders, documenting outcomes, participant feedback, and areas for improvement.
Assist with preparation of any procurement documents that may be necessary such as writing Requests for Proposals or Contract Scope of Work documents.
Facilitate a documentary-making process.
The project manager will work closely with Client staff to comply with federal and state grant and contract conditions and requirements: Monitor budget and timeline requirements, logistics regarding reporting and data collection, and compliance to satisfy the performance measures of the grant solicitation.
The project manager will also be responsible for additional related duties as identified by Client over the course of the project.
