Job Summary The Shipping and Receiving Manager is responsible for overseeing all shipping and receiving operations to ensure timely, accurate, and efficient handling of goods and materials for the Club. This position supervises the Shipping and Receiving Coordinator and works closely with the Purchasing team to maintain compliance with Club standards, optimize workflows, and uphold high levels of quality, service and safety. Essential Duties and Responsibilities Supervise and coordinate all shipping and receiving activities, including inspection, documentation, and distribution of goods. Ensure compliance with Club’s standard operating procedures for receiving, shipping, and inventory control. Oversee organization and cleanliness of storerooms, loading docks, and storage areas; maintain proper rotation of products using FIFO method. Monitor and verify accuracy of shipments and deliveries against purchase orders and invoices. Manage outbound shipments, including packaging, labeling, and scheduling with carriers to ensure timely delivery. Train and mentor the Shipping and Receiving Coordinators on best practices, safety standards, and operational procedures. Maintain accurate digital records of all shipping and receiving transactions using Procure to Pay (Birchstreet) and Back Office Systems (Northstar). Communicate with vendors and internal staff regarding delivery schedules, exceptions, shortages, or discrepancies; resolve issues promptly. Assist the Purchasing team to create purchase orders, inventory counts, audits, and reporting as needed. Ensure compliance with health and safety regulations, including proper handling of hazardous materials and sanitation standards. Assist the Director of Purchasing and Purchasing Manager in the execution of the long-term vision and development of the Purchasing Department and the Procure to Pay Cycle. Fundamental Requirements Always maintain a warm and friendly demeanor. Must be attentive, courteous, and service-oriented with guests, managers, and employees. Ability to convey information clearly and make quick, accurate decisions. Strong organizational and multitasking skills are a must to routinely meet deadlines. Effective problem-solving skills, including anticipating and resolving issues proactively. Ability to work with and understand financial information and basic math functions. Must be able to operate golf carts and company vehicles safely. General Requirements Excellent verbal and written communication skills. Ability to prioritize departmental functions and meet deadlines. Attend all required meetings and training courses; maintain excellent attendance. Maintain high standards of personal appearance and grooming, including proper uniform and nametag. Comply with Club standards and regulations to ensure safe and efficient operations. Physical Requirements Flexible availability and shifts longer than 8 hours are often required. Heavy work – Exerting up to 100 pounds of force occasionally, and/or 50 pounds of force frequently and/or up to 20 pounds of force constantly to lift, carry, push, pull or otherwise move objects. Must be able to handle hot and cold interior and outdoors conditions including but not limited to refrigerated/freezer areas for an extended period. Ability to stand; walk; use hands to finger, handle or feel; reach with hands and arms; and stoop, kneel, crouch or crawl and may occasionally be required to climb or balance during entire shift. Must be able to sit for prolonged periods of time. Education and/or Experience High school diploma required; postsecondary education in Business Management, Culinary Arts, or Supply Chain Logistics preferred. Previous experience in shipping and receiving within a club, hotel, or hospitality environment required. Proficiency with BirchStreet procure‑to‑pay systems, strong mathematical and budget analysis skills, and advanced proficiency in Microsoft 365, including Excel spreadsheet and formula development. Demonstrated expertise in gourmet culinary ingredients and quality inspection. Certificates, Licenses, Registrations Valid driver’s license and clean driving record.
