Shop Reception / Fleet & Maintenance Coordinator Sublette County Road & Bridge Title: Shop Reception / Fleet & Maintenance Coordinator Description: Sublette County Road & Bridge is seeking a highly organized and dependable professional to serve as our Shop Reception / Fleet & Maintenance Coordinator . This position plays a critical role in keeping our fleet, equipment, and daily operations running smoothly in support of county roads and infrastructure. This is a front-line administrative position within a fast-paced public works environment, requiring strong communication skills, attention to detail, and the ability to multitask. Position Summary The Shop Reception / Fleet & Maintenance Coordinator serves as the central point of contact for shop operations. This individual will coordinate fleet scheduling, maintenance tracking, parts ordering, and administrative support for mechanics and supervisory staff. Key Responsibilities Fleet & Equipment Coordination Schedule preventive maintenance and repairs for county vehicles and heavy equipment Track service intervals, work orders, and maintenance history Coordinate equipment availability with supervisors and field crews Monitor downtime and assist with fleet utilization reporting Maintenance & Work Order Management Create and manage shop work orders Maintain accurate records of repairs, inspections, and compliance documentation Assist with warranty tracking and vendor communication Support safety and regulatory documentation (DOT, inspections, etc.) Procurement & Inventory Order parts, tools, and shop supplies Maintain inventory levels and track usage Coordinate with vendors for pricing, delivery, and returns Assist with purchase orders and budget tracking Reception & Administrative Support Serve as first point of contact for shop visitors, staff, and vendors Answer phones and direct inquiries appropriately Maintain filing systems (digital and physical) Assist leadership with reports, data entry, and administrative tasks Qualifications High school diploma or equivalent required Administrative experience preferred (public works, fleet, or mechanical environment a plus) Strong computer skills (Microsoft Office; fleet management software experience preferred) Excellent organizational and time-management skills Ability to communicate effectively with mechanics, operators, vendors, and the public Ability to maintain confidentiality and professionalism Compensation & Benefits Competitive salary (DOE) Full benefits package Retirement plan Paid leave and holidays Stable, year-round employment serving the community How to Apply For more information or to apply, please contact: Billy Pape 307-367-6390 Or pick up an application in person at: Sublette County Road & Bridge 9522 State Hwy 191 Pinedale, WY 82941 Sublette County is an Equal Opportunity Employer. #J-18808-Ljbffr
