Administrative Support SpecialistThis full-time position qualifies for new hire benefits, which include; Health, Dental, Vision, Short-term Disability, Flexible Spending Account, and Group Term Life. An employee in this class provides a wide variety of responsible and complex administrative, technical, and clerical duties; researches and prepares a variety of fiscal, administrative, operational reports, and provides a variety of information to other agencies, staff, and the general public. Work requires employees to establish and maintain office filing and data base systems and organize information flow for customer service and staff usage. Work is distinguished from the lower-level class by requirements for application or administration of programs or advanced level applications of office technology. Work requires knowledge of departmental operations in order that the role may perform effectively and serve as backup and at a competent level in several roles. Work requires independence, self-initiative, and significant program knowledge. Precedent setting situations are referred to higher level supervisors. Work is performed under the general supervision of the Planning Director and is evaluated on the basis of attainment of individual performance objectives, observation, accuracy of reports, conferences, and feedback from employees and general public.Greets visitors, citizens, and customers; secures information via telephone or personal contact; selects appropriate materials to answer questions; assists the public with the completion of records, applications, etc.; handles inquiries/complaints from the public in person or by telephone. Manages and coordinates departmental programs as assigned. Prepares and presents information as needed for various types of organizations. Coordinates various schedules for persons and space; transmits information broadly in written and verbal form to coordinate meeting activities. Assists with meetings and takes minutes for various boards and committees representing the City, and is able to work non-traditional work hours for presence at various special events and meetings. Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness; types a variety of documents including correspondence, forms, reports, requisitions, meeting minutes and related documents, etc.; answers routine correspondence. Screens and routes materials according to content of communications; may do research or pull related materials from files. Reviews work for compliance with instructions, spelling, punctuation and basic grammar; proofreads final proof of materials. Performs and assists with updates and information for city website and social media platforms. Maintains inventories and orders supplies; processes incoming and outgoing mail; operates a variety of standard office equipment. Maintains meeting calendars. Performs related duties as required.General knowledge of standard office practices, procedures, equipment and administrative support techniques. General knowledge of laws, codes and ordinances relevant to department(s) functions. General knowledge of departmental programs and policies. Demonstrated applied skills in Microsoft Office Suite and Publisher; social media and/or website editing. Thorough knowledge of English grammar, punctuation, vocabulary, and spelling. Considerable knowledge of mathematics and general administrative / clerical office work. Ability to prepare reports and graphic materials, evaluate statistical data and present facts and conclusions clearly in written and oral forms. Ability to acquire and apply knowledge of the City policies, procedures, and services of the department to which assigned. Ability to organize work to achieve optimum results and manage work time and priorities. Ability to type accurately at a reasonable rate of speed. Ability to make arithmetical calculations. Ability to follow oral and written instructions. Ability to read and understand detailed and complicated policies, procedures and materials that contain specialized words and phrases. Ability to operate a variety of office equipment to produce complex/technical documents. Ability to establish and maintain effective working relationships with City officials, associates and the general public.Employee must be able to physically perform the basic life operational support functions of standing, walking, fingering, and repetitive motions. Employee must have visual acuity to be able to prepare and analyze data and figures for accounting, perform extensive reading, operate a computer and other office equipment, determine accuracy and thoroughness of work, observe general surroundings and activities. Vocal communication is required for expressing or exchanging ideas by means of the spoken word. Hearing is required to perceive information at normal spoken word levels. Work is generally sedentary requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.Work is generally performed in an office with a controlled environment without exposure to harmful conditions. Graduation from high school is supplemented by post-high school course work in Business Management, Computer Science or related field; or an equivalent combination of education and experience. Five (5) or more years of progressively responsible administrative support experience is preferred.
