Job Summary
This is a part time, 24 hours-a-week position.
Perform various routine/non-routine administrative functions for the assigned department.
Job Responsibilities
- Assist Director, Managers and Supervisor on individual projects or special assignments as needed.
- Maintain and update databases, personnel records, calendar, payroll records, EmpCenter, Empower, etc.
- Compile, organize and type correspondence, forms and reports. Answer telephone, direct callers and provide information as required.
- Review SAP/CATS time entry reports for time approval and accurate cost assignments. Coordination of contact list (both internal and external), phone list, and organizational charts, department roster.
- Support the back office grant making operational needs (Cyber Grants Non-profit system).
- Maintain controlled documents, order stationery supplies, process expense sheets. Perform administrative coordination of various meeting bodies including writing meeting minutes. Organize meetings, schedule of Director.
- Compile and assemble information/data/presentations for various meetings. Attention to detail, customer/client focused and flexibility/adaptability essential.
- Must have good communication skills and be proficient in EmpCenter, FMS, Microsoft Applications, including, Word, Excel, Access, Power Point as well as proficient in SAP, including payroll and in creating notifications.
Job Specific Qualifications
Required:
- High school diploma or GED.
- 3 or more years work experience in an administrative position.
- Proven proficiency in the use of Microsoft applications (Word, Excel & PowerPoint).
- The ability to manage the intake and internal process flow of highly sensitive and confidential information.
- Exhibit a professional demeanor in terms of written / oral communication.
- Demonstrated strong communication skills and demonstrated ability to work well with individuals at all levels of the organization, as well as with senior-level individuals in federal and state government, and private companies.
- Demonstrated planning and organization skills.
- The ability to work independently and effectively handle multiple tasks simultaneously under pressure, completing assignments with close attention to detail and in a thorough, accurate and timely manner.
- Must meet and maintain Nuclear Power Plant Access.
Desired Qualifications:
- Associates Degree preferably in a business.
- Business or Secretarial School, Secretarial Science Degree, and/or College level secretarial courses.
- PSEG experience.
- Proven proficiency in the use of SAP,
