Position Overview:

We are seeking a Client Intake Specialist to join our team and serve as the first point of contact for individuals reaching out to our firm for legal assistance.

As a Client Intake Specialist, you will play a crucial role in establishing positive relationships with prospective clients, understanding their needs, and facilitating their journey through our intake process.

Job duties include but are not limited to:

  • Warmly welcome anyone who contacts our firm
  • Manage incoming calls, emails, and inquiries from potential clients
  • Respond to any communications promptly and thoroughly
  • Be approachable so prospects and clients feel heard, understood, and cared for
  • Answer multi-line phone systems and route calls
  • Meet and greet prospects and clients
  • Conduct initial interviews with prospective clients to gather relevant information about their case and assess their needs
  • Provide compassionate and attentive support to individuals during the intake process, addressing their concerns and questions with professionalism and empathy
  • Collect and accurately document client information, case details, and other relevant data in our case management system
  • Coordinate and schedule appointments for consultations with attorneys, ensuring efficient use of time and resources
  • Collaborate with attorneys and legal staff to prioritize and expedite the intake process while maintaining confidentiality and ethical standards
  • Follow up with prospective clients to provide additional information, answer inquiries, and address any outstanding concerns
  • Assist in maintaining accurate records of client communications, inquiries, and outcomes for reporting and analysis purposes
  • Onboarding new clients
  • Coordinating intakes, other office duties, and staff support

Qualifications include but are not limited to:

  • Must be energetic with a positive attitude
  • Must have a heart to help people
  • Must have excellent phone etiquette skills
  • Must have excellent written and verbal communication
  • Must be approachable
  • Must have strong analytical and problem-solving skills
  • Must have strong reading comprehension skills
  • Must have strong writing skills
  • Must have strong organizational skills
  • Pleasant phone demeanor
  • Must have the ability to multitask and be a team player
  • Must be a critical thinker
  • Must have great attention to detail
  • Must be technologically savvy and willing to learn new tech
