HOURLY: $18 per hour, 40 hours a week

DATES: Orientation/Training- June 13/14 (8/hr days) - June 17- 24 (20 hours, Schedule TBA)

June 24-June 29 (no work July 4 week), July 11-August 23. Must be available July 12-July 18

FORMAT: On-Site @ The University of Portland, M-F

BACKGROUND:

Founded in 1983, Saturday Academy (SA) is a nonprofit educational organization that helps thousands of youth experience hands-on learning with community experts in a way that enriches young lives and develops a life-long curiosity and passion for learning. Saturday Academy offers classes, summer camps, and afterschool programs throughout the Portland Metropolitan area (grades k-12) as well as a state-wide high school internship program placing students in some of Oregons most well-known businesses. We inspire children to pursue their curiosity, but concentrate our programming on topics in science, technology, engineering, arts and math. OVERVIEW:

Saturday Academy is looking for individuals who have a passion for supporting STEAM-based educational experiences, and who have a passion for childcare in Grades K-8. As the Summer Administrative Assistant, your responsibilities will include supporting the Operations and Youth Programs team in running the administrative side of summer programming. This will include providing support with check-in and check-out of our Youth Programs Summer Camps, helping maintain the summer camp roster database, helping prep supplies for camps, fielding emails and calls from parents, communicating any changes to registrations and any inquiries about payments to the Operations Team, and being a main point of contact for camps. You will support the Operations Team by supporting workflow systems, tech prep, database support, and other operational concerns as they arise over the summer. It will also include supporting lead-up and prep for the ASE programs Mid-Summer Conference, which happens on Campus at the University of Portland, and the virtual Symposium.

PRIMARY RESPONSIBILITIES INCLUDE:

  • Functions as a primary communication hub for staff, students, and parents alike.
  • Distributes critical parent communication throughout the week, ensuring top-notch customer service.
  • Supporting Operations Manager in communications surrounding scholarship awarding as needed.
  • Facilitates check-in and/or check-out for each day of summer camp.
  • Ensures set-up, supply distribution, and strong supervisory support of all administrative processes throughout the camp day.
  • Maintains database projects and stewards development initiatives as assigned.
  • Provide supportive and compassionate group management strategies throughout programming while supporting individual needs.
  • Maintain high levels of engagement throughout the day.
  • Provide for the well-being and safety of campers by meeting physical and emotional needs in compliance with the state and organizations policies.
  • File and organize internal systems and work on long-term research projects for the organization.
  • Visit and collect anything from the mail room.
  • Support volunteer coordination for Career Explorations Event, as well as, events on-site and projects associated with ASE (Apprenticeships in Science and Engineering Program).
  • Manage summer supply inventory.

DESIRED SKILLS OR EXPERIENCE:

  • Previous experience in an administrative setting managing multiple tasks for prioritization.
  • Previous experience in childcare or babysitting multiple children in Grades K-8.
  • Passionate commitment to the transformative power of hands-on learning
  • Experience working with diverse populations in childcare, in-school or out-of-school setting
  • Positively supports inclusion in all forms: ethnic, gender, gender identity, religious/spiritual affiliations, disabilities, political perspectives, etc.
  • Competency in tech spaces such as software support and GSuite. Understanding of Windows and Apple Operating Systems.
  • Strives for excellence, is self-motivated, and able to problem solve. We appreciate folks who meet challenges as opportunities
  • Possesses strong oral communication skills
  • Willingness to ask questions when confronted when unsure of the next steps. Knowing when to ask I dont know how to do ____ is a valuable trait.
  • Exhibits a strong work ethic and personal integrity, and can remain enthusiastic and successful in a fast-paced work environment
  • Shows strong interpersonal skills, a sense of humor, and the ability to network and build lasting relationships
  • Works well independently and as part of a cohesive team
