Technical Coordinator - Business Assistant


Overview

We are seeking a highly organized, proactive, and detail-oriented Business Assistant to provide administrative and operational support within a fast-paced technical environment. This role supports technical leadership and cross-functional teams by managing schedules, coordinating projects, facilitating communication, and ensuring smooth day-to-day operations.

The ideal candidate is comfortable handling multiple priorities, anticipates needs, maintains confidentiality, and brings a professional, solutions-oriented approach to supporting technical and engineering teams.


Details

Location: Dearborn, MI (Hybrid – On-site Monday–Thursday)

Schedule: Standard morning shift

Pay Rate: $33/hour


Responsibilities

  • Manage complex calendars and coordinate internal and external meetings (virtual and in-person)
  • Prepare meeting agendas, capture minutes, and track action items
  • Serve as a primary point of contact for the technical department, screening and prioritizing communications
  • Draft correspondence and coordinate information flow with internal and external stakeholders
  • Support planning and execution of technical projects, team events, workshops, and off-sites
  • Coordinate logistics, vendors, materials, and presentations, including technical demonstrations when needed
  • Arrange domestic and international travel and process expense reports
  • Organize and maintain sensitive technical documents, reports, and presentations with proper version control
  • Assist with onboarding new technical hires, including workstation setup and system access
  • Manage office equipment and facilities requests
  • Compile data, create basic reports, and assist with presentations and departmental metrics
  • Support leadership with strategic planning and execution initiatives
  • Identify and implement process improvements to increase efficiency within the technical organization


Requirements

Required

  • Associate degree or equivalent practical experience
  • 3+ years of experience as an Executive Assistant, Business Assistant, or similar administrative support role
  • Experience supporting technical, engineering, or R&D teams preferred
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with collaboration tools such as Microsoft Teams and SharePoint
  • Strong organizational, time management, and communication skills
  • High attention to detail with the ability to handle confidential information
  • Proactive, self-directed, and able to work independently and collaboratively

Preferred

  • Bachelor’s degree
  • Familiarity with project management or technical tracking tools (e.g., Jira)
  • Experience supporting multiple leaders or large technical teams
  • Basic understanding of technical terminology or strong interest in technology
