***THIS IS AN AFSCME CLERICAL BARGAINING UNITPOSITION***

Duties/Responsibilities:
85% - Provide analytical, technical and organizational support to UMD SPA GrantAdministrators and the University Community for sponsored proposals and awards.
  • Receive and enter grant proposals and ProposalRouting Forms in the system through EFS, EGMS, and related databases. Attention to detail is crucial when entering and preparing grantproposals for grant administrators with over $100 million in proposals submitted annually. Errors in accurately entering data can result inproposals failing to be submitted on time costing the University thousands of dollars
  • Distribute documents including ProposalRouting Forms, grant proposals, and Notice of Grants and Awards forms together with related documents.
  • Request and initiateinquiries to sponsors, agencies and principal investigators.
  • Compose, edit, type, proofread and correct documents related to grantsand grant correspondence
  • Monitor and process incoming departmental email and regular mail, and post outgoingmail/Fedex.
  • Create subaward invoice payments
  • Create and maintain hard copy files, store them in cabinets and retrieve asnecessary to perform information-related tasks
  • Handle and forward calls using a multi-line phone system, as well as create anddistribute messages and assist with questions and requests
  • Respond to inquiries from stakeholders regarding grant status and relatedinformation.
  • Provide periodic and ad hoc updates to managers and stakeholders regarding grant status.
  • Assist with departmentcommunications to include department email announcements, updating and monitoring of the department website.
  • Maintain variouselectronic lists/groups (NOGA Distribution List, PRF Approver Google doc, UMD GMUN list)
  • Other duties as assigned.
15% -General Office Support
  • Coordinate set-up and clean-up of special events and related logistics such as reserving rooms/AV equipment,maintaining RSVP lists, ordering catering
  • Order office supplies, maintain copier/scanner/printer; schedule servicecalls.
Qualifications

Required Qualifications:
  • High School Diploma/GED and four years ofrelated office experience.
  • Training/education beyond HS may be substituted for some of the years of experience.
  • Demonstratedexperience using Microsoft Office applications.
Preferred Qualifications:
  • Demonstrated experience working withproposals, grants, and contracts.
  • Prior proofreading and editing experience with outstanding attention to detailskills.
  • Ability to handle multiple tasks, effectively prioritize and manage frequent interruptions and be able to focus duringoccasional periods of high stress.
  • Knowledge and experience with University of Minnesota procedures, grants administration,Enterprise Financial System (EFS), and other University systems.
  • Excellent oral and written communication.
  • Demonstratedability to work effectively with individuals from diverse communities andcultures.
