Warehouse Administrative

YOUR ROLE

Schedules appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.

 

 

WHAT ARE YOU GOING TO DO ?

 ·         Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.

·         Composes and types of routine correspondence.

·         Organizes and maintains file system and files correspondence and other documents.

·         Maintains personnel files in coordination with the branch manager.

·         Answers and screens manager's telephone calls and arranges conference calls.

·         Coordinates manager's schedule and makes appointments.

·         Greets scheduled visitors and conducts to appropriate area or person.

·         Arranges and coordinates travel schedules and reservations.

·         Coordinates and arranges meetings, prepares agendas, reserves, and prepares facilities. 

·         Makes copies of correspondence or other printed materials.

·         Prepares outgoing mail and correspondence, including e-mail and faxes.

·         Orders and maintains supplies and arranges for equipment maintenance.

·         Retrieves messages from voice mail and forwards them to appropriate personnel.

·         Submits timesheets and other payroll documents to the payroll department.

·         Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

·         Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

·         Answers questions about organization and provides callers with address, directions, and other information.

·         Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

·         Monitors visitor access.

·         Updates appointment calendars.

·         Receives, sorts, and routes mail, and maintains and routes publications.

·         Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.

·         Takes payments for services and products.

·         Orders, receives, and maintains office supplies.

·         Performs other clerical duties as needed, such as filing, photocopying, and collating.

·         Assist in employee engagement events.

·         Maintains reporting logs for branch updated and sends monthly communication.

·         Prepares billing each month for onsite customers in collaboration with branch manager.

·         Helps create and foster a professional atmosphere in the office with internal employees, customers, and vendors.

WHAT ARE WE LOOKING FOR ?

  Education and Experience: High School Diploma or GED, Minimum six months to one years related experience.

  •  Customer focused.
  • Ability to learn all aspects of the team’s work, and to provide cover and assistance on a regular basis.
  • Good Analytical skills, strong PC skills
  • Thorough knowledge and understanding of sea freight product /environment.
  • Self-starter, disciplined with leadership and motivational abilities.,
