Job Description

PRIMARY FUNCTIONS:

To assure the smooth, efficient, and accurate operation of the Superintendent of Schools office, as well

as assist in human resource and business office functions. Will coordinate communications to the

public in all areas, including the district website, social media sources and instant alert systems.

REPORTS TO : Superintendent of Schools and Chief Financial Officer

QUALIFICATIONS:

  • Associates Degree in Business or related field, bachelors degree preferred
  • Prior work experience in an office setting; accounting or bookkeeping experience a plus
  • High degree of proficiency in office procedures, typing, bookkeeping, office equipment

operation, business machines & computer software programs

  • Knowledge and practical experience regarding computer skills, including Microsoft Word and

Excel Programs

  • Experience in entering detailed information into online reports preferred
  • Must maintain confidentiality at all times
  • Ability to work independently and make decisions in accordance with established policies and

regulations

  • Good health and attendance and high moral character

PERFORMANCE RESPONSIBILITIES:

  • General Duties:

o Pupil Accounting Coordinator

o Serve as first contact in Superintendents Office for parents, students and staff

o Answer office phones

o Assist with the typing of reports, letters and other correspondence, as needed, for the

Superintendent

o Recording Secretary at Board meetings as well as selected hearings

o Prepare minutes for regular and closed session meeting of the Board

o Maintain files including Board minutes, supporting documentation, as required

o Prepare agenda and materials for Board meeting packets

o Prepare preliminary schedule of Board meetings for the year: date, time and place

o Maintain documentation of board member terms

o Post special meetings of the Board

o Assist Superintendent with regular and special school election paperwork

o Maintain district School of Choice application files

o Participate in all Board Policy Committee meetings and assist Superintendent with Neola

Board Policy updates

o Maintain district calendar

o Assist Superintendent with Days and Clock Hours Report

o Infinite Campus student data manager Back Up

o Other duties as assigned

  • Assist with Human Resource Duties:

o Maintain employee files

o Process new employee criminal background checks

o Post job openings and schedule interviews, assisting interview teams with packets

o Update required employee forms

o Maintain teacher certification records

  • Business Office

o Assist with Business Office tasks, as needed, for internal controls/separation of duties State Reporting

o MSDS (Michigan Student Data System)

  • Pupil Accounting Report (three times per year)

o TSDL (Teacher Student Data Lin

o CRDC (Civil Rights Data Collection)

o GAD (graduation and Dropout)

o CTEIS (Career and Technical Education Information System)

  • Serve as the District Communications Coordinator

o Work with administration and building offices to coordinate, maintain and promote

school activities and programs using the district website, social media accounts,

newsletters, etc.

o Emergency and Snow Day early morning communications to district families

o Maintain and keep current district calendars and important dates on website

o Coordinate all required communications with school offices

o Update building secretaries on pupil accounting changes
